How Finspective Replaced Gut Feel with Real Operational Visibility Using Link
Before implementing Link, Finspective’s operations relied on a mix of XPM, spreadsheets, Monday.com boards and a significant amount of institutional knowledge.
The systems existed, but the visibility didn’t.
“We had no reliable way to know how much work we actually had on, what reasonable turnaround times looked like, or where we sat relative to our true capacity ceiling,” says Director Simon Ward.
“Decisions about taking on new work, setting client expectations and resourcing the team were all made on gut feel rather than data.”
As is the case for many accounting practices, managing workflow in XPM at a detailed task level became increasingly difficult as the firm grew.
“In XPM, we had one job per client with multiple tasks across the financial year, but no way to see what was in progress, what was next or where things were getting stuck,” Simon explains. “Link solved exactly that. It gave us the granular workflow visibility that XPM alone couldn’t provide.”
From there, the decision to implement Link was straightforward and onboarding was smooth.
“Honestly, the onboarding was great, but the ongoing support has been even more impressive,”
Simon continues “During onboarding, the Link team remained upfront about Link's current capabilities and what was in their development pipeline. We've since seen the feedback we provided reflected in the product. The transparency shown was a significant part of how trust was built early.”
Finspective now leverages both Link platforms, combining detailed capacity planning with deep operational reporting.
“Our team has taken more ownership of their own workflow, which has reduced the management overhead on my end,” says Simon. “At the same time, automated reporting in Link ensures practice performance remains visible without anyone needing to manually pull reports together.”
For Finspective, operational fundamentals have improved significantly since implementing Link.
“We’re hitting our turnaround commitments to clients more consistently. We can make promises with confidence because the data supports them.”
With a clearer handle on capacity, Finspective is now scaling with greater confidence.
“We’ve been able to make the call to start recruiting, not based on gut feel, but because Link’s data made the case clearly,” Simon explains. “We now have a much more accurate picture of our true capacity, not just theoretical availability, which changes the picture significantly.”
By replacing fragmented processes and manual oversight with real operational visibility, Finspective has built a more scalable and proactive practice.
What started as a need for better workflow visibility has evolved into a core operational layer for the business; helping the team manage capacity, improve job turn around and scale with confidence, backed by real data rather than instinct.
